An administrators guide on how integrate Mailchimp with Colleague.

 




Mailchimp Integration

Colleague supports the ability to upload Candidate and Contact records from a search result to a MailChimp Audience. This includes the option to add 'Tags' as part of the upload.

 

What does this mean for you?

When in a Candidate or Contact Search Result, a user will be able to select a batch of records and choose an option from the 'Selected Records' menu to 'Add to Mailchimp Audience'.

The User will able to select 'Audiences' that they have either been created in MailChimp under a Global 'Company' Account or within the User own own personal Mailchimp account

In the event of multiple users, each having their own accounts, but wanting to upload to a 'Shared' audience held on one of the accounts. This will be possible provided the Audience title includes the word 'Shared'.

 

How do I enable this?

Access to this feature is controlled via a User Group Permission, under the 'Search' permission folder, 'Add to Mailchimp Audience'.

  • If set to 'No Access' the feature will not be an option off the 'Selected Records' sub menu
  • If set to 'Full Access' you will see the option 'Add to Mailchimp Audience' on the menu

There are two Global / User Settings for Mailchimp. These are stored within the 'Integrations' folder:

  • MailChimp API Base URL
  • Mailchimp API Key

Details of the Global 'Company' Account are added to Global Settings.

Details of the Personal User account are added to User Settings.

 

Mailchimp Settings

To connect Colleague to MailChimp, you will first need to create a MailChimp API key and establish the correct API base URL.

Within Mailchimp, you can generate an API key under 'Profile > Extras > API keys'. After creating the key, copy it for use in your integration.

The last four characters of the API key indicate which MailChimp server your account is hosted on (e.g. us19).

This server identifier must then be included in the API base URL using the following format:

https://[SERVER NUMBER].api.mailchimp.com/3.0/ (For example: https://us19.api.mailchimp.com/3.0/)

Once you insert the correct server number into the base URL, you can enter both the API key and the base URL into the relevant Colleague Global/User Settings to establish the connection between the systems.

 

How do I report on this?

Provided the Candidate/Contact is uploaded via Colleague, there is a background service that regularly monitors the reporting statistics of a linked Candidate or Contact record.

History logs are then created on the record tracking activity from Mailchimp. The following activities are recorded:

  • Mailchimp - Campaign Bounce
  • Mailchimp - Campaign Click
  • Mailchimp - Campaign Open
  • Mailchimp - Campaign Sent
  • Deleted from Audience
  • Subscribed to Audience
  • Unsubscribed from Audience

This includes a notfication for unsubscriptions.
