Enhancements

Form Builder

We are pleased to announce the release of our new custom form functionality.

Colleague will now offer a custom Form Builder for creating additional tabs on the Candidate, Company & Contact record.

These custom tabs are assigned against User Groups, enabling the option for different Users in different User Groups to view alternative fields when accessing a record.

A custom form can be used to store and provide additional information to the standard record profile page, or used to replace the page for a more customised user experience.

Hours/Duration Type on Requirement / Offer / Placement

When on a Requirement, Offer or Placement, it will now be possible to set 'Hours' and 'Duration' fields on a per day, per week or per month basis.

These fields were previously hard coded to be based in weeks.

The Offer form has also been updated, along with the end date calculation, to be based on the selected 'Duration' unit of measure.

The forecasted Placement value function has been updated to ensure the forecast reports and panels work as expected.

The existing merge fields for 'Hours Per Week' will be left in place, to ensure there is no impact to existing contracts, but additional merge fields will also be added to cover these new fields.

These fields will default to 'Weeks' to ensure there is no disruptive change for the Users.

 

Remove Option Added to 'View Documents'

When viewing documents via a Search Result, and using the 'View Documents' feature, there is now an option to remove unwanted records.

Users will be able to assess Candidate CVs and, if not appropriate, remove them from the search result. The 'View Documents' preview will then move on to the next selected record.

 

Undo Mark As Leaver

It will now be possible to undo the 'Mark as Leaver' workflow.

This accommodates the scenario of a Contact returning to work for a Company or the Mark as Leaver workflow being run in error.

This option will be available on the Contact record via the View More sub menu or the right click menu:

 

User Group Filter on Visibility of History Codes

It will now be possible to configure specific History Codes so that they are only visible to certain User Groups.

Within Admin > Lookups > History Codes - A multi-selection User Group field is now available to select which User Groups can view the history code. If this option is left blank, the history will be available to all Users.

This can then be used as an internal processing option to store confidential details, which should not be seen by unauthorised Users.

 

Admin > Teams - Active and Licenced Filters (and Move Team/User filter)

Within Admin > Teams, there are now filters to list Users that are Active/Licenced. This should help the maintainence of this area to be more efficient.

This includes an update to the 'Move Team or User' function, to help filter on Active/Licenced Users.

 

Ability to Edit a History - New API Call

The Colleague API has been updated with the option to edit the history of a record.

This includes a Global Setting which authorises the API call:

Section: API, Description: 'Allow updates to History records from the API' - Yes/No

 

User Group Filter added to Notes Maintenance

Similar to History Codes, it is now possible to configure specific Note tabs to only be visible to certain User Groups.

Within Admin > Notes Maintenance, on selection of a Note tab, a multi-selection User Group field is now available to select which User Groups can view the Note tab.

If this option is left blank, and the Note tab is 'Active', the Note tab will be available to all Users.

 


 

Minor UI Tweaks

Update Bank Details - History will include changes made

The History that is generated when a User updates the Bank Details of a Candidate or Company has now been enhanced to contain details of the changes made.

This will not include the sort code, account number, IBAN or Swift code details. As these details are held under extra layers of encryption in the database.

 

Bank Details - Account Name will now be a default mandatory field

The mandatory field settings of a bank detail have been updated so that the Account Name is a default mandatory field.

The Sort Code and Account Number are grouped as one possible mandatory set.

The IBAN and Swift Code are grouped as an alternative mandatory set.

 

Non 'Active' Note tabs now hidden on Search

Note tabs that are not set as 'Active' will no longer appear as a searchable Note tab on the Text Criteria search:

 

'Remove Document' option added to Checklist tab on the Candidate Portal

The 'Remove Document' option has been added to the Checklist area of the Candidate Portal.

 

Attaching History Document will now request you to select Document Type

Further to the feature which enables Users to attach History Documents to records (introduced in the previous release), there is now a 'Document Type' alert window when pressing 'Attach Dcoument'.

This ensures the document is categorised and assigned to the correct index as part of being saved to the record.

 

Requirement Candidate 'Applicant Source' Field Label Change

The 'Candidate Source' column on the Candidates tab of a Requirement has been updated to be correctly labelled 'Applicant Source' as this is pulling through the Applicant Source field from the Requirement Candidate record.

 


 

Bug Fixes

User Overview - Target Percentage caps at 100%

A limitation which capped the target percentage at 100% on User Overview panels has been resolved.

 

UnAuthorise Reason Missing

It was raised that when unauthorising a Placement, the reason was not being correctly shown on the history.

This has now been resolved.

 

Radius Search not updating correctly on change of Postcode

When amending the criteria of a Search Result and changing the postcode on the Radius Search mulitple times, it was raised that this was not working as expected.

This has now been resolved.

 

Styling on Permissions Error page

The default permissions error page, which appears when a User is attempting to access an area of the system which they are not authorised to access, has now been styled correctly as per the UI updates from last year.

 

Select All on Placement Checklist not triggering the 'Mark As Complete' Toolbar option

When on a Placement, on the Checklist tab and ticking the 'Select All' tickbox, this was not activating the 'Mark As Complete' option in the toolbar.

This has now been resolved.

 

Click to dial not setting the correct timezone

When using the 'Click to Dial' function to automatically record an outgoing call, it was raised that this was not being stamped with the correct UTC timestamp. This would mean that calls could appear to have taken place an hour before or ahead of when they took place.

This has now been resolved.

 

Red asterisk added to Task Start Date to highlight it is mandatory

It was noted that although the Start Date on a Task is mandatory, this was not highlighted with a red asterisk.

This has now been resolved.

 

Experience Started Mandatory Field caused loop

It was possible to set the 'Experience Started' date field as mandatory, but this field was not present on the Create New Candidate form, causing a loop when pressing 'Save' to create a new Candidate.

The 'Experience Started' date field has now been added to the new Candidate form to avoid this from happening.

 

CV Parsing not picking up C# or F#

It was raised that when parsing a CV which contained 'C#' or F#' as skillsets, this was not being correctly handled.

This has now been resolved.

 

WhatsApp icon not showing without refresh of the record

When a User uploads a record to WhatEx, there is a need to refresh the record so that it retrieves the WhatEx ID and shows the WhatsApp icon against the mobile number.

It will now auto-refresh the record when uploading candidates/contacts to WhatEx to ensure the icon appears as expected.

 

Issue with 'View Location' on Addresses

When accessing an Address record on a Candidate, Company or Contact and clicking on the 'View Location' option, this URL was not working correctly.

This has now been resolved.
