How To Use
 

It is important to understand how the Timesheet Import feature works so that you can ensure the spreadsheet is correctly formatted.

 
General Points

The following fields are mandatory:

  • Row Type
  • Placement ID
  • Period End Date
  • Timesheet Type
  • Total Units

The timesheet will not be imported if any of these fields are empty.

The 'Row Type' can be either:

  • Timesheet
  • Charge

Charges must follow a 'Timesheet' row. The 'Charge' row(s) will generate a Timesheet Charge against the Timesheet that is above the Charge in the spreadsheet.

For the other fields:

  • Notes - Freetext
  • Supplier Reference - Freetext
  • Status - This will default to 'Ok' if left blank
  • Chargeable - Yes or No - if blank will be Yes by default. Will also accept Y or N
  • Payable - Yes or No - if blank will be Yes by default. Will also accept Y or N

The expected values of the lookup field for 'Status' are as follows:

  • Ok
  • On Hold
  • Hold Payment
  • Hold Invoice
  • Paid
  • Pending Approval

The expected values of the lookup field for 'Timesheet Type' are as follows:

  • Weekly
  • Monthly (4/5 weeks)
  • Monthly (Calendar)

The 'PL Nominal' and 'SL Nominal' columns are Timesheet Charges only.

Date format for 'Period End Date': DD/MM/YYYY

Before the import runs there will be a validation check performed on the spreadsheet to confirm how many charges it has successfully read. If there are any errors in the spreadsheet it will highlight these to the user and ask if they wish to proceed.

As records are being imported you will be able to see a count on the screen advising the progress of the import.

If the creation of a record fails, it will log the reason for the failure and move on to the next record in the spreadsheet.
