Import Charges

Please read the below instructions before using the 'Import Charges' feature.

How To Use

It is important to understand how the Charge Import feature works so that you can ensure the spreadsheet is correctly formatted.


General Points

The following fields are mandatory:
  • Placement ID
  • Description
  • Tax Code
  • SL Nominal
  • PL Nominal
The charge will not be imported if any of these fields are empty.

For the other fields:

  • Status - This will default to 'Ok' if left blank
  • Chargeable - Yes or No - if blank will be Yes by default. Will also accept Y or N
  • Payable - Yes or No - if blank will be Yes by default. Will also accept Y or N
The expected values of the lookup fields for 'Status' are as follows:
Status:
  • Ok
  • On Hold
  • Hold Payment
  • Hold Invoice
  • Paid
  • Pending Approval
 
Before the import runs there will be a validation check performed on the spreadsheet to confirm how many charges it has successfully read. If there are any errors in the spreadsheet it will highlight these to the user and ask if they wish to proceed.
 
As records are being imported you will be able to see a count on the screen advising the progress of the import.
 
If the creation of a record fails, it will log the reason for the failure and move on to the next record in the spreadsheet.
